Reports to: Head of People Operations / HR Director

Location: [Insert Remote/Hybrid/Onsite]

Type: [Full-time/Contract]

Job Summary
We are looking for a meticulous and organized People Operations Contract Administrator to manage the lifecycle of our employment-related documentation. In this role, you will ensure that every contract—from new hire offer letters to vendor service agreements—is accurate, compliant, and executed on time. You will be the "guardian of the details," ensuring our people processes run smoothly and our legal risks are minimized.

Key Responsibilities
Contract Lifecycle Management: Draft, review, and distribute employment contracts, offer letters, confidentiality agreements (NDAs), and independent contractor agreements.
Compliance Oversight: Ensure all documentation meets local, state, and federal labor laws. Maintain an up-to-date understanding of changing employment regulations.
Internal Liaison: Act as the primary point of contact between the People Ops team and the Legal/Finance departments to ensure all terms align with company budget and risk profiles.
Data Integrity: Maintain digital employee files and contract databases. Ensure all signed documents are correctly filed in our HRIS and that expiration dates/renewal periods are tracked.
Vendor Management: Assist in reviewing and managing contracts with external HR vendors (benefit providers, recruitment agencies, and software platforms).
Process Improvement: Identify bottlenecks in the signing process and implement tools or workflows (e.g., DocuSign, PandaDoc) to improve the "candidate-to-hire" experience.

Qualifications & Skills
Experience: 3+ years in HR Operations, Paralegal work, or Contract Administration.
Attention to Detail: An almost "superhuman" ability to spot typos, conflicting dates, or missing clauses in complex documents.
Legal Literacy: Familiarity with standard employment law terminology and the ability to interpret basic legal clauses.
Tech Savvy: High proficiency with HRIS systems (e.g., Workday, BambooHR, Rippling) and e-signature platforms (e.g., DocuSign, HelloSign).
Discretion: Proven ability to handle sensitive, confidential information with the utmost integrity.
Communication: Ability to explain complex contract terms to employees or managers in a clear, friendly manner.

If you are hiring for this position, look for candidates familiar with:

HRIS: Workday, ADP, or HiBob.
Document Management: DocuSign, Ironclad, or PandaDoc.
Collaboration: Slack, Notion, or Microsoft Teams.

Why This Role Matters
